Club Constitition


The Club is called Aberystwyth Athletic Club/ Clwb Athletau Aberystwyth
The Club headquarters is Plas Crug Leisure Centre, Aberystwyth, Ceredigion
The Club is formed to provide for its members facilities for amateur athletics and social exchanges, and generally to promote and encourage all things incidental to the practice of and participation in amateur athletics.
  1. The Club may consist of Senior Members, Associate Members, Junior Members and Social Members.
  2. Senior Members are persons of either sex who are 18 years of age or more and are eligible to compete under the laws of the Amateur Athletics Association of Great Britain.
  3. Associate Members are members of either sex who are 18 years of age or more and who are either parents or guardians of a Junior Member.
  4. Junior Members are children of either sex aged between 8 years and 18 years whose parents or guardians are either an Ordinary Member of Associate Member
  5. Social Members must be members of either sex who are 18 years of age or more.
    • Social members may participate in the Club's training sessions, social activities, Facebook group, Club Time Trials and Club Handicap competitions. They may also attend the Club AGM or EAGM, but may not vote.
    • They may support Aberystwyth AC races in a voluntary role.
    • However if racing they must run as an unaffiliated runner and may not claim Aberystwyth AC membership or race in Club kit, and they will not be able to compete on behalf of the Club, West Wales Region or Wales.
    • They may not hold office on the Club Committee.
  1. The officers of the club are a Chairman, a Vice Chairman, a Captain, a Secretary and a Treasurer.
  2. The officers must be proposed, seconded and elected by ballot each Annual General Meeting.
  3. The officers hold Office until the next Annual General Meeting when they must retire.
  4. The Officers are eligible for re-election from year to year.
  5. Nominations for the post of Chairman should be invited from the Club membership not less than 10 days before the AGM (or Special General Meeting if appropriate).
  6. Nominations should have a proposer and seconder, and the agreement of the nominee.
  7. The list of nominees for the post of Chairman will be circulated to club members not less than 24 hours before the AGM or SGM to allow voting, by electronic or other documented means, by those who cannot attend the meeting in person.
  8. Nominations will also be taken from the floor for the election of the Chairman and for all other Committee posts.
  1. The Committee of Management consists of the Officers, the Club Coaches and a maximum of four elected members of which two, at most, may be Associate members.
  2. The Committee must be elected at the Annual General Meeting in each year and subject to termination of office by resignation, removal or otherwise, the members remain in office until their successors are elected at the Annual or Special General Meeting following their elections.
  3. The Committee may fill any casual vacancy that occurs.
  4. Retiring members of the Committee may be re-elected.
  5. Three members of the Committee form a quorum

The Annual Subscription is payable on 1stApril in each year
  1. If two or more Junior Members of the same family reside in the same house, the Committee has an absolute discretion to make whatever reduction in the Annual Subscription payable by such Junior Members or their parent or guardian as it thinks fit.
  2. The Committee shall have the power to expel any member whose subscription is six months in arrears, provided that such member has received a notice in writing from the Committee informing him/her at least one month in advance of the Committee's intention to meet on a specified date to consider his/her expulsion.
  3. The name and address of any member so expelled shall be sent to the Honorary Secretary of Welsh Athletics and shall be entered by such officer in a book (to be called the Black Book) kept for that purpose.
  4.  Every person whose name has been so entered in the Black Book shall be suspended from competing at any meeting held under either UKA or WA Laws until the liability causing his expulsion which shall not exceed one year's subscription has been discharged
  5. No member whose subscription is in arrears is eligible to take part in any competition organised by the Club
Application for Membership
  1. All applications for membership must be in writing and signed by the applicant or, for Juniors, their parent or guardian.
  2. Membership renewals may be in writing or on-line.
  3. Election to membership is at the discretion of the Committee
 General Meetings
A General Meeting of the Club must be held in every year not later than the 30thApril and must;
  1. Receive, and if approved, adopt a Statement of the Club's accounts to the end of the preceding year.
  2. Consider and if approved, sanction any duly made alterations to the rules.
  3. Appoint the Officers and other Members of the Committee.
  4. Appoint an Auditor.
  5. Deal with any special matter that the Committee desire to bring before the members and receive suggestions from the members for consideration by the Committee.
  6. Notice Convening the Annual General Meeting must be sent to the members or be posted in some conspicuous part of the Club premises not less than ten days before the meeting and must specify the matters to be dealt with.
  7. Five Ordinary or Associate Members form a quorum.
  8. Junior members have the right to attend Annual General Meetings but no right to vote
 Special General Meetings
  1. A Special General Meeting may be convened at any time by the Committee and must be convened with 21 days from the receipt of a requisition signed by no less than five Ordinary of Associate Members specifying the object of the meeting.
  2. A Special General Meeting may be convened:
  • To consider and if approved, sanction any duly made alteration of the rules.
  • To deal with any special matter the Committee wishes to place before the members.
  • To remove any member or members of the Committee from office.
  • To fill any vacancy or vacancies caused by the removal or resignation of any Committee members.
  • To deal with any special matter the members requiring the meeting wish to place before the Club.
  • Notice convening a Special General Meeting must be sent to the members or posted in some conspicuous part of the Club premises not less than ten days before the meeting and must specify the matters to be dealt with.
  • Five Ordinary or Associate Members form a quorum.
  • Junior members have the right to attend the Special General Meetings but no right to vote
  1. The Committee may expel any member who offends against the rules of the Club or whose conduct in the opinion of the Committee render him fit/unfit for membership of the Club.
  2. Before any such member is expelled the Secretary must give him/her seven days written notice to attend a meeting of the Committee and must inform him/her of the complaints made against him/her.
  3. At Committee meetings convened for the specific purpose of considering the expulsion of a member, the number required to form a quorum is half the total members of the Committee
 Visitors and Temporary Membership
  1. The Committee may elect members of other Clubs to use and enjoy the premises and facilities of the Club as visitors for any period not exceeding four weeks.
  2. Visitors may not vote any meeting of members.
  3. The Committee may admit people as temporary members on any terms it thinks fit.
  4. There may not be more than 5 temporary members at any one time
